Use CloudFiles content library to store & view your docs online, organize digital files and securely share & track file links
CloudFiles' content library is a simple yet powerful tool to consolidate and organize all the digital files and other types of content you may have stored/hosted in different places. It helps you create a single, trackable document library. Through the CloudFiles content library, you can share your documents with anyone securely. You can further preview and view these documents online using highly configurable file links. The infographic below covers the process in brief
How to use the CloudFiles' content library?
You can import, share & track file using the CloudFiles content library in a few easy steps as illustrated in the GIF image below.
Registering a CloudFiles account
If you don't already have an account, head over to our website to create a free CloudFiles account now. We offer free licenses. For professional use we recommend using our Business or Enterprise licenses to cover all your business needs including custom domain.
Accessing the Content Library
Currently the content library is accessible through the dashboard and from the CloudFiles' HubSpot widget in any deal / contact / company record. The image below shows how to access the content library from the dashboard.
Uploading files into content library
You can easily upload any type of file (& webpages) into the CloudFiles content library. The library supports all files types including PDFs, Word Documents, PPTs, spreadsheets etc... At the same time, you can import these files from a variety of sources.
Also, now you can upload non-renderable files like zip on CloudFiles which means you can send any business document with ease. Thus the CloudFiles content library acts as an online storage for all your files.
You can even import URLs and track webpage visits & link clicks using the CloudFiles URL import feature.
As shown in the image below, CloudFiles can sync with cloud storages such as Google Drive, OneDrive, Box & Dropbox by allowing you to directly import files and create secure & trackable links from them. The image shows this syncing process for google drive. The same process can be followed for other cloud storage options.
Creating & Configuring File Links
You can directly generate and configure trackable document links from the content library as shown in the image below. You can put up various kinds of security settings on your files to share them securely. Click here to know more about enhancing document link security through CloudFiles.
Sharing & Tracking File Links
The content library also allows you to directly track PDF analytics as shown in the image below. You can track document metrics such as views, opens, downloads, time spent on each page etc... Using these document links you can view any type of word, PDF, PPT file online.
Managing Content Library
CloudFiles understands that your business needs deep folder hierarchy to organize your digital files. In your content library you can create folders and place files as per your need. Click on the New Folder button at the top and rename it to suit your file storing needs. Check out our help article on organizing digital files using CloudFiles' folder hierarchy.
Once a folder is created, you can rename it. Click on the hamburger menu at the right and you will find the rename option.
Move Folders & Files
To organize your digital docs better, you can move a file or folder to another directory by clicking on the hamburger menu at the right and choose move. It will show you the entire list of folders in your content library and you could then move the file to a different location. This lets you organize and re-organize your digital files.
Search Files & Folders
You can quickly search for files, links & folders uploaded in your content library using the search tool at the top of the content library.
Delete Files & Folders
The delete option in the hamburger menu in any file or folder will permanently delete it from the CloudFiles server. Use this option cautiously as all the urls of the file will become defunct once the file is deleted. If you delete a folder, all the urls of each file inside that folder will become defunct.
Replace Files while preserving shared link
Often, you may need to update a file but may have already sent a link as part of sales outreach or marketing campaign. CloudFiles allows you to replace the file while preserving the same link. Thus you don't need to send the link again and can update your content on the go.
The recent files button inside the library will show you a descending list of files that have been modified or replaced after being uploaded into the content library.
Preview uploaded files
You can preview your uploaded files using CloudFiles on the go. It will allow you to check your files without increasing the view count and keep your view counter free of personal views.
