CloudFiles Glossary - Important Keywords

Get acquainted with the terms used by CloudFiles to make your secure file sharing easier 

CloudFiles is a secure file sharing and analytics webapp for businesses. It converts your files to secure links, that provides analytics about content engagement and assists your Salesforce or HubSpot CRM to create powerful automations based on "file viewed" event. 

It has one click sync with your favorite Cloud based drives like Google Drive, One Drive, Box, Dropbox and SharePoint. If you have your own AWS you can connect it with CloudFiles and save on additional storage cost. 

The admin is a power user in CloudFiles. They have the power to assign licenses to users, invite new users and manage other administrative settings. 

A user is anyone who is operating a CloudFiles license. They have access to all the features, however they do not possess any administrative rights.

A link or url is a reference text which a user can click to access your data and in CloudFiles' context, it connects your files to simple text.  

CloudFiles provides deep page by analytics for your secure CloudFiles links. This is available in the analytics section

Total downloads signifies the total number of times your file has been downloaded.

Total time is the sum of the time of all the individual view sessions on your file. 

Total Views is the sum of all the individual views on your file. If your file was viewed by the same person twice, it will be counted as two views. 

Unique Views are those views on your file that were done by different people. If your file was viewed twice by the same person, the unique view will be counted as one.

A session is a group of interactions done by a user. In CloudFiles' context it is a view activity conducted on your file.

The content library is the basic file repository for your files. You can upload files from multiple sources into the content library including your local storage and your favorite Cloud based drives. 

In CloudFiles, there is a storage limit for files, and it's based on the fair usage policy. The specific details about the File Storage Limits in CloudFiles are mentioned in the policy. 

A file is any object in which you store your data, information, settings or commands. All types of files are supported on CloudFiles. CloudFiles makes the distinction between Renderable Files and Non-Renderable files.

Renderable files are those which can be opened in a browser eg. pdfs, ppts, videos, excel, word, etc.

Non- Renderable Files are those which cannot be opened in a browser eg. zip files or .exe files. 

Both Renderable and non-Renderable files can be shared via CloudFiles, however the non- Renderable files can only be downloaded whereas the Renderable files can be downloaded as well as be viewed on the CloudFiles viewer.

Folders are simply directories in the CloudFiles content library. Folders can contain both files and folders. To share a folder, check out our Folder sharing article.

Data Room is a secure File storage space for your business documents. A virtual Data Room (VDR) is a secure online repository for document storage and controlled distribution. It’s a storage space that multiple authorized people can access simultaneously. It’s meant to share your documents in it’s finalized state without any further requirements of editing. 

Link Settings in CloudFiles contain 4 major sections namely: status, expiry, security and notifications.

If you have enabled downloads on the CloudFiles links that you have created, your recipients will be able to download your files. If you do not wish to let them download your files, you can turn off that setting.

CloudFiles lets you preset the time when you wish to disable your file from viewing. This can be based on a certain number of views or simply the time after which it would not be available for viewing. Learn how to set Link Expiry based on date & views.

A password is any key that can be used to protect your file from unauthorized views. If this setting is enabled only a person with the key can view your file. Discover how to add password protection to your links by learning more about Set password protection on link.

White-labeling with CloudFiles is a Custom Branding feature of CloudFiles. We allow our users to set custom domains, sub-domains and add their logo to the CloudFiles viewer. 

Domain name is a string of text that directs users to its website data. A sub domain is an additional information provided over the domain to specify part of the website.

eg. In www.cloudfiles.io/blog

Domain is "cloudfiles", and subdomain is "blog"

CloudFiles lets you to set custom domains and subdomains as per your wish on our CloudFiles file viewer.

CloudFiles content library is the central hub of files in the CloudFiles ecosystem. You can manually import files into it. However, with Mirrored Library you can directly sync your Cloud based drives like Google Drive, One Drive, SharePoint, Dropbox and Box with CloudFiles.
