Introduction

The "Update Resource Permission" action by CloudFiles allows you to manage access to files or folders by specifying email addresses. You can grant or revoke access to a particular file or folder. For example, if a deal stage is updated, you can use this action to update access so that only the deal owner has permission.

Input Parameters

The "Update Resource Permission" action takes in various parameters to specify the source & destination of the file.

  1. Library: The specific location where the file or folder access needs to be updated (e.g., SharePoint, Google Drive, etc.).
  2. Path to Resource: The exact path to the file/folder. There may be more than one parameters required to specify this path based on library selection.
  3. Action: You can grant or remove access to a file or folder.
  4. Permission: Choose whether the access should be read-only or include permission to make changes.
  5. Emails: Enter the email addresses of the people who should be given access.

These parameters have been detailed in the section below:

1 - Library

Select the cloud storage platform from which the file or folder's access needs to be updated. You can choose from CloudFiles, OneDrive, SharePoint, Box, or Dropbox. Depending on your selection, additional parameters will appear in the action, which are explained in the sections below.

2 - Path to Resource:

This specifies the source from where the files/folder’s access need to be updated. You can specify the full path using a simple '/' separated string with the file name at the end.

The path to the folder can be copied from the metadata on the CloudFiles dashboard and then personalized using the record tokens. Follow the simple steps below -

1. Find the CloudFiles widget from any HubSpot record, and click on CloudFiles. It will redirect you to app.cloudfiles.io

2. Under the libraries tab, navigate to the file or folder that you are trying to add.

3. Copy the parameter from the meta data on the right side of the screen.

3 - Action

In this parameter, specify whether you want to grant or revoke access to the specified file or folder for the given email addresses.

4 - Permission

In this parameter, if you choose the action as "Grant" then this parameter will show up. Choose the type of access you want to grant to users. If you want users to only view the file or folder, select "read." If you want them to be able to make changes, select "write.”

5 - Emails

In this parameter, you can manually enter email addresses separated by commas, use email IDs associated with specific labels, grant access to all contact emails linked to a particular HubSpot object, or allow everyone to access the file or folder.

Return Values

The Move Resource action returns the following values. These can be used in later actions to chain together actions and create complex automations.

1. Action Status - This is a success or failure message based on whether the action executed correctly.
