Move Lead folder to Account folder on conversion
In this test drive, we'll see how CloudFiles can relocate folders linked to records in external storage when record updates occur. For example, moving Lead folder into it's Account folder upon conversion.
Follow the instructions in the next section to begin testing. Subsequent sections will detail the setup for this trial and additional possibilities for extending it.
To test out this feature, follow the simple instructions below :
- Go to 'Leads' tab and create a new Lead. This creates a SharePoint folder visible in the 'Files' tab.
- Click 'Convert' on the Lead record.
- In the 'Convert Lead' form, pick 'Create New' or 'Choose Existing' for Account.
- Leave the other defaults as they are and click 'Convert'.
- Open the converted Account and check the Account folder in the 'Files' tab.
You will find the Lead Folder moved into the Account folder.
Flow execution, folder creation and folder relocation may take some time (a few seconds to a minute). If you don't see any changes in the Files Tab, try refreshing the CloudFiles widget a couple times.
The GIF below gives a visual representation of these steps
The following video shows the flows that made this possible.
In this test drive, we've seen how CloudFiles can move Lead folders into their respective Account folders upon conversion. However, there are many variations of this possible such that it can fit your custom use-case. Check the pointers below:
- The same can be configured with any other external storage including Google Drive, Amazon AWS S3, OneDrive, Azure, Dropbox etc.
- Here we have configured relocation of Lead folder into the Account folder upon conversion. However, you can configure relocation into any sub-folder as well. E.g. your can configure the flow such that a Leads sub-folder is created for every account and the individual lead folder moves inside of it.
- You can extend this to any Object and their updates like field changes, record deletion etc. For example, relocation of record folders upon record deletion.
- You can also modify the properties of the relocated folder. For instance, the name of the Lead Folder, originally the person's name, can be changed to simply 'Lead' after it's moved into the respective account folder.
- Move functionality extends to files as well. Other basic functionality such as rename or delete is also available through flows.
