Copy Email Attachments to Case Folders Test Drive
In this test drive, we'll see how CloudFiles copies Case email attachments to external storage like SharePoint using a simple Salesforce flow along with some CloudFiles elements.
Follow the instructions in the next section to test. The subsequent sections explain the setup for this test drive as well as what else is possible as an extension of this test drive.
To test out this feature, follow the simple instructions below :
- To create a case, send an Email to support@1teyd0ucjs0vxujym2hjrpcstatzrhvl43ohv3bubtgzca5gh9.ao-1tbgxea0.usa848.case.salesforce.com with any subject with.
- Attach a few files to this email. These can be any type or size of files.
- Go to 'Cases' tab and open the created case. It may take upto a minute for the case to get created.
- Within the 'Files' tab, find all email attachments copied into the Case Folder which is located in SharePoint.
Flow execution and folder creation may take some time (a few seconds to a minute). If you don't see anything in the Files Tab, try refreshing the CloudFiles widget a couple times.
The GIF below gives a visual representation of these steps
The following video shows the flow that made this possible.
In this test drive, we've seen how CloudFiles copies Case email attachments to the Case folder. However, there are many variations of this possible such that it can fit your custom use-case. Consider these possibilities among many:
- Selectively copy attachments. For instance, you could copy only '.jpg' attachments.
- The test drive supports any type or size of file.
- Organise copied attachments into folders by type or name pattern. For example, place attachments with 'screenshot' in their name into a separate subfolder.
- Once copied, you can delete the original file from Salesforce if needed.
- You can transfer attachments between different objects. For example, you can move all email attachments to the customer's account folder who sent the email.
- You can even delete the copied files from Salesforce storage so as to keep your file storage cost low.
