Document Generation Test Drive

Introduction

In this test drive, we will check how CloudFiles Doc-Gen generates customizable documents (PDF or DOCX) from Salesforce Object records and templates created using Microsoft Word. The test drive would take less than a minute to complete.

In order to access this test drive, head over to our Salesforce AppExchange listing & click on the Test Drive button. Enter your information to open the test drive org. Once the test-drive is open, navigate to this article within the Instructions tab of the Test Drive.

Instructions

To test out this feature, follow the simple instructions below.

  1. Go to 'Contracts' tab and create a new Contract.
  2. Fill in all the required fields in the 'New Contract' form:
    1. 'Account Name' : Choose an existing account or create a new one.
    2. 'Price Book' : Select "CloudFiles Price Book" from the options.
    3. 'Contract Image URL' : Provide a public URL for an image.
    4. 'Contract Start Date' : Pick a date.
    5. 'Customer Signed Date' : Pick a date.
    6. 'Contract Term' : Enter a numerical value.
    7. 'Customer Signed By' : Select an existing contact or create a new one.
  3. Once the Contract is created, open it and find the 'CloudFiles Doc-Gen' component on the record.
  4. In the component, you'll see a list of templates set up for the Contract object.
  5. Click on the drop-down against 'Contract' template and click either 'Generate PDF' or 'Generate Docx' to download the document in the respective format.
  6. Open the downloaded file to view the document generated by Doc-Gen based on the selected template.

Beyond this Test Drive

We have seen a very specific use-case of document generation on Salesforce Contract records. However, there are many variations of this possible such that it can fit your custom use-case. Check the pointers below -

  • We have shown this demo only on the Contract, however CloudFiles Doc-gen supported for all standard and custom objects within Salesforce.
  • You can generate documents from from multiple templates configured for an object.
  • Here we have shown the conditional insertion on Text, but the same can be set on any content.
  • The Table is generated based on the 'Price Book' related list, however you can configure the same with any record collection and also customize the columns as you want.
  • You can customize the templates to incorporate branding elements, company logos, and stylistic preferences, ensuring your organization's visual identity.

In the near future -

  • Integrate document generation with Salesforce workflows and CloudFiles actions to automate the creation of documents based on specific triggers or events, store the generated document in desired location in connected external storage etc.
