Update Sharepoint Folder Name Test Drive
In this test drive, we'll explore how CloudFiles can automatically rename a record's folder when the record name is updated. For instance, if an Account Name is changed in Salesforce, the corresponding folder name in SharePoint will also be updated automatically. This test drive takes less than a minute to complete.
Follow the instructions in the next section to begin the test. The sections that follow will explain the setup for this test drive and discuss additional possibilities beyond this scenario.
To test this feature, follow these simple steps:
- Navigate to the 'Accounts' tab and create a new account.
- In the 'Account Type' dropdown, select any value. Each selection generates a different folder structure.
- After creating the account, go to the 'Files' tab to view the corresponding Account folder that has been automatically created in SharePoint, named after the Account.
- Now, update the Account Name to something different.
- Refresh the widget or page, and you’ll see that the folder's name has also been automatically updated.
Flow execution and property updates may take a few seconds to a minute. If you don't notice any changes in the Files Tab, try refreshing the CloudFiles widget or page a few times.
The GIF below gives a visual representation of these steps.
The following video shows the flow that made this possible.
In this demo, we focused on renaming an Account folder when the Account name is updated. However, this can be adapted to fit many different custom use cases. Consider the following points -
- Although this demo used Account records and their corresponding folders, CloudFiles LWC and automations are compatible with all standard and custom objects.
- The same action can be applied to modify or set other metadata columns within the folder.
- You can also use this action to modify or set metadata column values for files within the folder.
- Set up workflows to automatically apply metadata tags or categorize files. For example, based on specific Account fields like industry type, customer tier, or region when uploading files to a folder.
