Notifications on File Views

CloudFiles can send you emails whenever your file is viewed. Additionally, you can also control the frequency of these notifications. You can even enable user and admin settings to auto-set the notification frequency. In this article, we talk about how file view notifications can be controlled using the various features of CloudFiles.

Email notifications can help you keep on top of your file engagements and hence prospect activity. This can help send fast and focused follow-ups, thus helping to convert or satisfy customers faster.

The notification email

The notification email is triggered by CloudFiles and contains some basic information about the view. This email can be triggered on each view of file, each unique view of the file or just the first view of the file. The email also contains a link clicking on which can take you to the analytics page of the file directly. Given below is a screenshot of the email.

Setting notifications frequency

As mentioned above, the notification email can be triggered on each view of file, each unique view of the file or just the first view of the file. You can set this frequency using various ways. This can either be done every time you create a link, or you can auto-select default settings using admin / user profile. The below sub-sections talk about this -

Using link settings

Each link offers notification settings that can be updated any time. The settings mainly consist of a radio selection of the frequency of the notification emails. As shown below, there are 3 options available.

Using user settings

User Settings or Profile Settings can be accessed by clicking on the Profile icon in the top navbar and clicking on Settings button. These settings apply to specific users only, thus providing individual users an option to customize their CloudFiles experience.

The Link Default menu in the left sidebar provides user default for newly created link settings. You can choose the default notification frequency here. Note that user settings can be overridden by admin settings.

Using admin settings

Admin settings can be accessed by clicking on the gear icon on the top navbar. This option is only available to Admin users. Admins can set account-wide settings that can override the user settings.

Default Frequency settings are available in Account > Link Defaults > Notifications. Choosing the option here will auto-set the notification frequency for all new links created from this account.
