this article explains how to generate a document using a cloudfiles pre built template that automatically populates data from hubspot properties these templates are created in microsoft word and are designed to work with hubspot deal records and their associated objects what to expect? by the end of this tutorial, you will be able to download and prepare a cloudfiles document template configure associated merge fields test and publish the template to hubspot generate a document directly from a hubspot deal record for esign 1 pre requisites before you start with the set up, please ensure you have installed cloudfiles a install cloudfiles in hubspot cloudfiles is available on the app marketplace and can be installed using the standard app installation process here is a quick overview go to cloudfiles' listing page https //ecosystem hubspot com/marketplace/apps/sales/sales enablement/cloudfiles on hubspot marketplace (or just search 'cloudfiles' on the marketplace) click the "connect" button on the top right of the page (or click on this link https //api cloudfiles io/api/auth/hubspot ) this will open up the hubspot login page log in with your hubspot administrator account the following page will be shown click the "connect app" button to finish installation check out the installation guide for cloudfiles hubspot integration https //help cloudfiles io/hubspot/installation guide for cloudfiles hubspot integration for more details b get a document generation license to use document generation, a cloudfiles document generation license must be assigned to your account if you don’t have one yet, you can start with a free trial or contact your admin to request access if you’re setting this up on your own, follow the doc generation quickstart guide https //help cloudfiles io/hubspot/doc generation quickstart' to complete the required setup steps 2 download and open the template download the required template from www cloudfiles io/templates https //www cloudfiles io/templates and open it in microsoft word ensure that the cloudfiles word add in https //help cloudfiles io/hubspot/doc generation quickstart#2 install cloudfiles word add in is enabled and that you are signed in refer to the gif below note the templates created by the cloudfiles team are built for the hubspot deal object and its associated records because of this, additional objects cannot be selected or added to the template 3 review merge fields and associations some merge fields in the template are linked to associated records, such as a deal’s associated primary contact although these associations are already defined in the template, you must specify the association type to ensure the correct record is used during document generation to do this, follow the below mentioned steps open the cloudfiles add in in microsoft word navigate to the resources tab in the top right corner under record single variable, locate the merge field created for the associated record and open it from there, select the appropriate association type, such as primary, any, or a specific association label, depending on how your hubspot records are structured if the association type is not set correctly, the merge field may not populate as expected 4 preview the template after reviewing and updating the template content, open the "preview" tab in the cloudfiles add in paste the hubspot deal record id that you want to use for testing the preview will generate a sample document using data from that deal 💡 note the deal record must have an associated contact if no associated contact exists, the document will not populate the associated merge fields correctly 5 publish the template once the preview displays the correct data, publish the template as a new template after publishing, the template becomes available inside hubspot for use on deal records 6 generate the document from hubspot open the relevant hubspot deal record and locate the cloudfiles doc gen card select the published template and generate the document https //help cloudfiles io/hubspot/doc generation quickstart#5 generate documents from doc gen card in either pdf or docx format after the document is generated, it can be sent for esignature using the docusign integration configured in your cloudfiles for hubspot app
