Template Folder Cloning Test Drive

Introduction

In this test drive, we’ll demonstrate how CloudFiles can automatically create folders based on a template with the specified subfolders or files using Salesforce flows and show them right there on the record. The test drive would take less than a minute to complete.

Follow the instructions in the next section to test. The subsequent sections explain the setup for this test drive as well as what else is possible as an extension of this test drive.

Instructions

To test out this feature, follow the simple instructions below :

  1. Go to 'Leads' tab and create a new Lead. This creates a SharePoint folder visible in the 'Files' tab.
  2. You will see a Folder that was automatically created in SharePoint with a structure that replicates the Template Folder.

The below image depicts the Template Lead Folder structure.

The GIF below gives a visual representation of these steps.

Flow execution and folder creation may take some time (a few seconds to a minute). If you don't see anything in the Files Tab, try refreshing the CloudFiles widget a couple times.

Implementation

The following video shows the flow that made this possible.

This implementation is possible only with SharePoint, Dropbox and Box.

Beyond this Test Drive

We've demonstrated a specific use case of cloning a template folder structure on Salesforce Lead records. However, this approach can be adapted to suit various custom use cases. Consider the following points:

  1. While our demo focused on Leads, CloudFiles LWC and automations are compatible with all standard and custom objects.
  2. The template folder can include a sub-folder hierarchy of any depth. Although we demonstrated up to the 3rd level, it can be extended further.
  3. The folder structures are configured using Flows, allowing you to choose different templates. For instance, you can decide a template based on Record Type or any other field.
