Licensing & Configuration

The Document Sharing Add-On is managed under Document Management licenses.

To enable license for Doc sharing with your Document Managment, reach out to sales@cloudfiles.io for activation assistance.

Once Doc-Sharing license is enabled, all users with a Document Management license can use Document Sharing Functionalities. The Configuration section includes settings for Branding and Link Defaults. These settings help ensure consistent sharing experience across your org.

Datarooms

With the Sharing Add-On, you can create Dataroom that let you share multiple files and folders, even from different cloud storage platforms through a single, unified link. They serve as centralized spaces for organizing, sharing, and managing content efficiently.

With Datarooms, you can:

  • Organize files and folders into containers for easier navigation.
  • Add File Request blocks to collect documents from external users.
  • Customize access and permissions

With the Sharing Add-On, you can Create Links for files, folders, and datarooms. A sharing link for a file or folder can be created directly from the CloudFiles widget on Salesforce records. Additionally, Link creation can be automated for files, folders, or datarooms using CloudFiles Flow actions. The generated links can then be shared through email or stored in Salesforce fields for future reference.

Security

The Security Control settings define how recipients access shared links and what restrictions apply to viewing or downloading files. These settings can be customized for each link.

You can configure the following options: Require Email for Access, Enable Email Verification, Allow Specific Users (Email List), Block Specific Users (Email List), Restrict by Domain, Password Protect Links, Control Download Permissions.

Once a sharing link is created for a record, user can Manage Links directly through the Doc-Sharing widget (below) on the record page. The Doc-Sharing widget lists all links created for files, folders, and datarooms associated with that record. Users can quickly view key details such as link status, views, and analytics. They can also preview the shared file, update link settings, or enable/disable the link directly from the widget.

Analytics

The Document Sharing Add-On provides detailed insights into how recipients interact with shared content through Analytics and Engagement Tracking. Each shared link captures key engagement metrics, which are displayed within the Doc-Sharing widget and summarized in an analytics dashboard.

Users can view: Total and unique views, Download count, Page-by-page engagement (time spent per page)
