in this first quick start, we show how the cloudfiles document management product can be used as a file connector for hubspot a file connector is something that can provide live access to your files that may be sitting in some external storage (such as google drive, sharepoint, onedrive, box, dropbox, aws s3, azure, cloudfiles or hubspot storage) from your hubspot records (contacts, companies deal, tickets) cloudfiles offers a file mirroring feature and some hubspot native components to connect any type of file to hubspot records in the article below, we talk about accessing external installing cloudfiles in hubspot if you haven't already done so, make sure cloudfiles is installed in your hubspot from the hubspot marketplace this only takes a couple of minutes and you can follow through two components the app card and the widget these components integrate external storage libraries and allow files/folders to be managed directly within contacts, companies, deals, and tickets cloudfiles app card the cloudfiles app card is integrated into hubspot across the four primary objects contacts, deals, companies, and tickets it allows you to connect external storage platforms like sharepoint, google drive, onedrive, box, dropbox, or aws s3 once connected, you can view, download, rename, move, or delete files directly from the record the card appears in the middle section of the hubspot record, either in the standard tabs or in any custom tabs the cloudfiles card is not added by default on the record pages to add the card, go to any record, click on the customize button on the top right, open the default view and add the card to an existing tab / new tab for detailed instructions and screenshots, refer to the configuration section of the cloudfiles connected folder widget article cloudfiles widget the cloudfiles widget is available on the right sidebar of all contact, company, deal, and ticket records it works the same way as the app card on all record types accessing content library the cloudfiles content library is your single source of truth for all your files & folders, no matter where they are the library provides access to cloudfiles storage as well as mirror storage support for google drive, onedrive, sharepoint, box, dropbox, aws s3, etc the content library can be accessed through a couple of ways depending on whether you want to use it from a hubspot record or not the image and details below summarise these using cloudfiles app card on hubspot record open any hubspot record and use the cloudfiles app card click "select file/folder" to open the content library from here, you can browse or upload files, attach them to the record, preview, download, or manage them using cloudfiles widget on hubspot record on any record (contact, deal, company, or ticket), find the cloudfiles widget in the sidebar click on "add" to open the content library you can then navigate your storage, browse files/folders, and perform actions like upload, rename, or delete using cloudfiles web app y ou can also access the content library from the cloudfiles web app by clicking the cloudfiles hyperlink in the widget the web app is useful if you prefer working outside hubspot you can manage all your files here, and the changes and analytics are still visible inside hubspot connecting your cloud storage using the content library dialog, you can easily connect any existing cloud storage and instantly access those files this content mirroring currently works with hubspot file storage, google drive, onedrive, sharepoint, box, dropbox, amazon aws s3, microsoft azure and a few more options to connect you library, follow the simply steps below locate the library selector dropdown and choose your desired cloud storage click on the login to cloud storage button this is a one time process and is not required for hubspot file storage and cloudfiles native storage standard cloud storage login will follow in a new tab complete the login the tab should auto close and you should come back to hubspot your files should start showing in the content library dialog box these steps are also shown in the graphic below associating files & folders to records files and folders from the content library can be linked to hubspot records through the cloudfiles app card or the cloudfiles widget when using the app card, click the "select file/folder" button to open the content library from there, choose the files or folders you want to associate with the record once linked, they will appear on the card, and if a folder is selected, its contents can be viewed and managed directly from within the card this is shown in the graphic below when using the widget, click the "add" button to open the content library select the required files or folders using the checkboxes and add them to the record these will then appear as tiles inside the widget file & folder operations from card when a file or folder is associated with a record through the cloudfiles app card, it can be managed directly from the card for folders, you can browse their contents, open them in the connected storage (such as google drive or sharepoint), share, rename, or delete them for files, you can open them in the connected storage, download, preview, share, rename, replace, move, delete, or disconnect them from the record while keeping them in storage what next?
