in this quick start, we will cover some basic doc sharing capabilities of cloudfiles in context of sales / service users these users prefer operating from hubspot records such as deals, tickets, contacts & companies on a daily basis they can use the doc sharing capabilities from the records themselves using the cloudfiles app card and sidebar widget in the article below, we talk about accessing cloudfiles from hubspot records using app card or sidebar widget associating files, folders or datarooms to records creating sharing links for the above resources & configuring those links viewing the file as a customer & checking analytics these steps will give you a basic understanding of how to use the cloudfiles document sharing product in hubspot as a sales / service user check out cloudfiles from records you can access cloudfiles from contact, company, deal & ticket records using one of the following two ways both of these work for all the 4 record types using the cloudfiles app card a detailed card view that can be added to one of the standard or custom tabs in the center of the hubspot record screen view using the sidebar widget appears in the right sidebar of each record is enabled by default on all records the following sub sections talks about these in detail cloudfiles app card the cloudfiles app card is integrated into hubspot records and lets you connect external storage libraries it can be added to any standard or custom tabs that appear in the center of the record screen layout on hubspot to add the card, go to any record, click on customize button on top right, open the default view and add the card to an existing tab / new tab for detailed instructions and screenshots, refer to the configuration section of the cloudfiles connected folder widget article cloudfiles widget the cloudfiles widget is available on the right sidebar of all contact, company, deal, and ticket records in case you don't see the widget on any of your records, them, share & track them and a lot more we will cover this functionality below associate files, folders or datarooms in order to share any resource(s), we first need to associate the resource(s) to the record you can associate a file, folder or datarooms to a record using one of the following ways associating files & folders to associate files or folders, simply click on the "select file / folder" button in the card or the "add" button in the widget to open the content library you will have free access to the cloudfiles & hubspot storage through this dialog box create, upload or locate the respective files & folders, and associate them to the record as shown in the gif below you can use the doc sharing product with external storages as well if you have purchased d oc management product refer to the doc management quickstart docid\ w6s fizgvmylcbqkzeyms on how to connect external storages and associate files & folders to records the process is similar as soon as the file or folder is associated, it will show up, both in the card as well as in the sidebar check the gif below associating datarooms to associate a dataroom, open the content library dialog as shown above then switch to the datarooms view follow the on screen instructions to create your dataroom once created, you can then associate files & folders from any storage(s) to the dataroom as soon as the dataroom is associated, it will show up in the sidebar widget we currently do not show dataroom attachments in the app card however this is on our roadmap we currently do not show dataroom associations on the app card you can access and operate datarooms through the sidebar widget only we will soon add dataroom support on app card creating sharing links there are multiple ways to create a sharing link you can either do it while associating the resource to the record or using the app card or sidebar widget creating link using app card simply browse to the file or folder that you want to create a sharing link for and click on the share option in the actions dropdown creating link using sidebar widget click on the actions dropdown button and select the 'share' or 'get link' option to create the sharing link for the file, folder or dataroom creating link while associating resource when you select a file, folder or dataroom in the content library dialog and add it to the record, you can select a checkbox at the bottom to simultaneously create the link of the associated resource this is shown in the steps below configuring sharing links once the link has been created, cloudfiles will automatically open the link settings dialog you can also access this dialog using the get link action in the card & widget this dialog can be used to set various security settings such as email collection, password protection, download control etc viewing file as customer now that your file is uploaded and link is configured, open that link in a browser window you will be sharing this link with your clients when you access the link, this is exactly what your clients will see you can also open the link in anonymous tab to test various security settings the file shows up in the browser using our proprietary file viewer this viewer supports all types of readable and watchable files including pdfs, ppts, excels, docs, images, videos etc other types of non rendered files are downloaded on link access additionally, you can also 'preview' the file this does not apply the security settings and does not collect analytics previewing is for internal use only and these links should not be shared with the customers view analytics to view file analytics, locate the 'analytics' action in the actions dropdown against the resource in the app card or the sidebar widget additionally, the analytics should also show up on the timeline activity of the record if the cloudfiles timeline activity has been enabled both of these are shown in the graphic below what next? you can refer to the
