CloudFiles captures analytics for every shared link, and users can view them from the record page.

Accessing Analytics

You can access analytics for any shared file or folder in two ways, depending on where the link is viewed.

1. From the Doc-Man Widget

  1. Open the relevant record and navigate to the folder/file in the Doc-Man Widget.
  2. Click the dropdown arrow next to the item.
  3. Select View Analytics.

2. From the Doc-Sharing Widget

Refer to Manage Links to add Doc-Sharing Widget into the record page.

  1. In the Shared Links section on the record page, locate the shared link.
  2. Click the Analytics icon (πŸ“ˆ).

Both paths will open the Analytics Window which displays detailed engagement metrics for the selected file.

Key Metrics

The Analytics window displays several important engagement metrics:

  • Total Views: The total number of times the shared link has been accessed.
  • Unique Views: The number of distinct users who have viewed the file.
  • Downloads: Total number of file downloads.
  • Total Time: Cumulative time viewers spent interacting with the file.

All metrics update automatically whenever a recipient views or downloads the file.

Engagement Details

The File Engagement section provides deeper visibility into user-level interaction data, including: Location of the viewer (e.g., region or state), Email used to access the file, Time Spent on the file, Number of Sessions, Last Viewed On date.

Individual Viewer Insights

Clicking on any individual View entry opens a user-specific engagement summary, displaying: Total time spent by that user, Total sessions, Downloads by that user, A session-wise breakdown of time spent, Last viewed date.

This helps identify how a specific user interacted with the document.

From the same analytics screen, users can also click Edit Link Settings to modify: Link status, Expiry settings, Security preferences, Download permissions.

Analytics Export

Users can click Export Analytics in the analytics window to download the engagement data for reporting or audit purposes.
