Adding a Widget to a Record

To manage shared links from the record page, you must add the CloudFiles widget to the Lightning record layout.

Steps:

  1. Open the record → click Setup → Edit Page to open the Lightning App Builder.
  2. Search for CloudFiles and drag the component onto the page.

  1. Set Widget Type to shared-links, then Save and Activate the layout.

This adds the Shared Links widget to the record, allowing users to manage file, folder, and dataroom links on that record.

Widget View

After adding the widget, the Shared Links table becomes visible on the record page. This view provides a quick overview of all links associated with the record. The widget displays: Name, Created By, Created On, Views, Status, Analytics, Actions Menu

This helps users understand link usage and quickly perform actions without leaving the record page.

From the Shared Links widget, each link has an Actions menu (▾).

Clicking this menu reveals options such as: Copy Link, Edit Link Settings, Export Analytics, Preview, Download

When selecting Edit Link Settings, a configuration dialog appears. This dialog includes:

1 - Status

  • Online – Toggle to activate or deactivate the link.
  • Sharing URL – The generated link with a Copy Link button.
  • Allow File Download – Enable or disable downloading for recipients.

2 - Expiry

Options for setting when the link should expire. Whichever limit is reached first will deactivate the link.

  • Expiry by Date/Time
  • Expiry by Number of Views

3 - Security

Options to protect the link: Password protection, Require email for viewing, Enforce email verification, Allow/Block lists (emails or domains)

Users can adjust link availability, expiry, and security settings at any time, directly from the record page.
