Link Defaults
introduction link defaults allow administrators to define the default behavior for newly created sharing links these settings apply only to links generated after the defaults are configured , ensuring consistency across all cloudfiles links and reducing the need for repeated manual adjustments this section includes default options for status, download, expiry, notifications, require email, and auto sync whenever a new sharing link is created, either manually or through a flow action, the link will automatically inherit these default settings note updating link defaults does not modify or affect any existing links user can override these settings through cloudfiles widget or via flow actions the image below shows what this configuration looks like in the cloudfiles app status controls whether newly created links should start as online (active) or offline by default when set to online , newly created links become immediately accessible to recipients when set to offline , newly created links will not be accessible until activated download controls whether recipients are allowed to download shared files by default when enabled , newly generated links will allow recipients to download the file when disabled , newly generated links will restrict recipients to viewing only downloading will not be allowed unless changed later expiry defines when newly created links should automatically expire by default the link will deactivate when the first configured limit is reached number of views – the link expires after it reaches the specified number of views days – the link expires after a set number of days from creation whichever limit is reached first will disable the link this can be overridden on each individual link after creation notification controls the default frequency of email notifications sent when a shared link is viewed notification on first view – sends an email only when the link is viewed for the first time notification on each view – sends an email for every view event no notification – disables all view notifications require email determines whether recipients must enter a valid email address before accessing the shared link when enabled , viewers must provide an email address to proceed this helps identify who accessed the link and improves tracking through analytics when disabled , recipients can access the link without providing an email auto sync when files are shared externally using cloudfiles generated links, cloudfiles needs to cache the file temporarily before showing it to the end user this is important for performance reasons this caching is done on cloudfiles owned storages in default case, when this toggle is off, files are cached in cloudfiles owned storage on a temporary basis to decrease loading time and to ensure faster file availability this setting, when toggled on, allows users to fetch files directly from the source such as sharepoint, google or other integrations, eliminating the need of caching files to cloudfiles owned storage on temporary basis enabling this setting would negatively impact the loading time of the files the setting is disabled, by default
